Job Description

OVERVIEW OF ROLEThe Database Manager reports directly to the Sr. Director of Communications & Operations and works closely with Citygate Network members. This role is responsible for entering, updating, and maintaining business and mission/ministry records, sending out requested information, serving as the events registrar, and providing various support and reporting to the Citygate Network team.  The Database Manager is a full-time position, not exempt from overtime, per Colorado employment law.

QUALIFICATIONS—The Database Manager shall:

  1. Have a personal relationship with Jesus Christ and maintain a courteous, Christ-like attitude in dealing with people and situations.
  2. Uphold the organization and its staff and members in prayer on a regular basis.
  3. Exercise good judgement and work kindly and professionally with all members, staff, volunteers, vendors, and the media.
  4. Demonstrate a desire for excellence in work produced and in representing the organization’s image.
  5. Communicate in a professional and friendly manner by phone and email.
  6. Be technically savvy and comfortable with Apple computer hardware and software.
  7. Be proficient in database management, understanding and enjoying data system-management concepts.
  8. Be highly detail-oriented and extremely accurate in data entry.
  9. Have a high level of proficiency with Microsoft Office, email, eblast programs, and other required software. 
  10. Understand and enjoy financial management concepts.
  11. Have the ability to manage multiple projects simultaneously.
  12. Be available to travel to the organization’s week-long annual conference, with the ability to manage all aspects of on-site registration.

DUTIES—The Database Manager shall:

Member Services

  1. Oversee all association management software for proper functioning, updating and trouble-shooting. This includes managing the database, memberships, events, donations, reporting, and vendor relationships.
  1. Integrate systems to ensure seamless data flow and functionality across platforms.
  1. Process membership enrollments as directed by the Director of Member Engagement and the Sr. Director of Development; process membership renewals, donations, and other member-related transaction. These may include payments, data-entry, certificates, photo-copying, and other correspondence.
  1. Have a working knowledge of member benefits and systems to best assist members, accurately updating records in the database as necessary and as directed by respective directors.
  1. Run various reports (financial, member lists, etc) as necessary, and follow up with appropriate members and/or staff. This may include calls, emails and/or USPS mail. Maintain key dashboards as required.
  1. Work closely with the Sr. Director of Operations and Communications in maintaining a healthy relationship with the membership management software company contracted by the organization.

Conference/Event Registration

  1. Create event registration setup and oversee the online registration system for all events.
  1. Coordinate with Director of Events and Meetings and Sr. Director of Operations and Communications on website event pages.
  1. Process all forms and categories of registration, ensuring appropriate coding and accounting.
  1. Monitor event capacity numbers, deadlines, price breaks, and discounts.
  1. Run reports for conference/event meetings, including final reporting, and on-site lists.  Maintain year-to-year comparisons by month and week.
  1. Manage event badges process, with input and assistance from the team as needed.
  1. Serve as the annual, on-site conference registrar at the conference location.

Other Duties

  1. Process Instigate magazine subscriptions and compile bi-monthly Instigate mailing list to send to the printer.
  1. Be personable by actively listening to members’ personal accomplishments, life experiences, or hardships. Notify staff as needed, including sharing information about any needs and opportunities where we can provide additional support.
  1. Serve as primary support in answering telephones, processing mail, and directing people to the appropriate area or person for assistance.
  1. Perform all other related duties as assigned.
