The Medical Receptionist will assist the Nurse Practitioners (PMHNPs) with recording and updating medical histories and contact information in patient files, assisting with scheduling patient appointments, administrative tasks to support patient care and performing standard care procedures like obtaining vital signs.
Reports to: Director of Operations
Minimum Qualification Requirements
- High School Diploma
- Current Medical Assistant Certificate or Certified Nursing Assistant Certificate.
- Pass a minimum of one exam from the National Commission for Certifying Agencies
- + years of working in a customer service position.
- Strong verbal and written skills
- A high level of professionalism
- Able to communicate and work with culturally-diverse families and communities with the ability to be culturally sensitive, empathetic, appropriate and non-judgmental
- Self motivated and able to work independently and take initiative
- Critical thinking and problem solving skills
- Able to pay attention to detail
- Is knowledgeable of and maintains HIPAA standards of privacy and confidentiality
Preferred Qualifications
- Associate’s degree in a medical field or 1+ years of working in the healthcare field
- 1+ years of experience in the mental health field or any outpatient setting
- Superior customer service skills
Hours
Responsibilities
Greet patients and visitors in a prompt, courteous, and helpful manner
Oversee waiting area, coordinate patient flow, and report problems
Schedule and reschedule appointments; help maintain calendars in EHR
Obtain and document vital signs
Provides support to PMHNPs and coordinates psychotropic medications requests for refill
Assist with the coordination of patient care, including referrals to specialists and community resources
Medical records requests: Assist with requests for medical records, track records requests and communicate with providers when obtained. Assist with sending records when requested by other offices and maintain records.
Responsible for prior authorization of psychotropic medications utilizing Cover My Meds program
Responsible for Prescription Drug Monitoring Database Reports. Reports must be included in charts for all patients before their visit.
Answer phone calls
Perform data entry
Make copies of medical forms and keep blank files stocked in office
Answer client questions and provide assistance when necessary
Verify information for upcoming appointments
Register new clients and initiate client records in the Electronic Health Records (EHR) system.
Obtain and verify demographic and insurance information and update as necessary into the EHR
Verify patient paperwork and consent forms for completion and scan documents, insurance card(s) and photo identification into the EHR
Verify insurance eligibility and add insurance information into EHR
Assist with referrals and tracking progress
Other duties as assigned
